How FreedomOS handles your data.
Effective November 3, 2026. This policy applies to the FreedomOS website, web application, desktop application, and mobile application.
1. About FreedomOS
FreedomOS is a business operating platform used by businesses and their authorized team members to manage customers, quotes, jobs, scheduling, team operations, invoicing, payments, websites, customer portals, reporting, and related workflows.
2. Information we collect
Depending on how you use FreedomOS, we may process account information such as your name, email address, phone number, organization, role, authentication information, and account preferences. Business subscribers may also store customer, lead, job, quote, invoice, payment-status, scheduling, checklist, note, message, and operational information in FreedomOS.
The mobile application may process device and app information needed for security, session management, notifications, offline synchronization, and troubleshooting. When a user chooses to submit job evidence, FreedomOS may process photos, files, notes, timestamps, and related job metadata.
SMS and reminder preferences. FreedomOS, operated by Freedom Group, records the mobile number, consent choice, timestamp, disclosure version, and source when you opt in to subscriber SMS notifications. We use this information to deliver requested account, billing, onboarding, and support messages and honor opt-outs. We do not sell or share mobile numbers or SMS opt-in data and consent with third parties or affiliates for marketing or promotional purposes. Messaging service providers may process this information solely to deliver the requested service. See the SMS Terms and communication preferences.
Business service text messages. When an approved subscriber business uses FreedomOS for customer service texts, we process the customer's mobile number, consent evidence and source, booking or service references, message content, delivery status and replies on behalf of that business. Authorized business staff can view their own message history and respond to customers. Consent and opt-out preferences are kept separately for each business. We share the information needed with messaging service providers to deliver the requested service, not for their marketing. We do not sell mobile numbers or SMS consent records or share them with affiliates or third parties for marketing or promotional purposes. Contact the sending business about its customer records and message preferences; see the business SMS terms.
3. Location information
FreedomOS includes optional location features for field-service organizations. Location tracking is disabled by default at the organization level. If an organization enables clocked-in field location sharing, an employee is shown a prominent disclosure before the location permission request and before location sharing begins.
When enabled and permitted by the employee's device, FreedomOS may collect precise or approximate device location while the employee is clocked in, including when the mobile app is minimized or not visible, to support job-location evidence, field coordination, live team visibility, and related operational functions. Authorized employer roles may view this work location while the employee is clocked in. Location sharing stops when the employee clocks out or when the active location session is otherwise closed.
FreedomOS does not use employee location information for advertising.
4. Camera, photos, and files
With user permission, the FreedomOS mobile app may access the camera or photo/file picker so users can attach before-and-after photos, incident evidence, quality-control evidence, or other job-related files. FreedomOS only receives content that the user chooses to capture or submit through these workflows.
5. How we use information
We use information to provide and secure FreedomOS, authenticate users, maintain organization and branch access controls, deliver requested product features, synchronize work across devices, send service communications, provide customer support, improve reliability, prevent abuse, maintain audit records, and comply with applicable legal obligations.
6. Business subscriber data and employer access
Many records in FreedomOS are created or controlled by a business subscriber. Authorized owners, administrators, managers, supervisors, and other permitted users may access organization records according to role and branch permissions configured in FreedomOS. For employer-managed information, the business subscriber may have its own legal obligations regarding employee and customer data.
7. Service providers and third parties
FreedomOS may use service providers to operate the platform, such as cloud hosting, authentication/database infrastructure, transactional email, payment processing, error monitoring, mapping, and app-distribution providers. These providers process information as needed to provide their services to FreedomOS or the relevant business subscriber.
Map and navigation features may use Google Maps and Apple Maps. When a user opens or interacts with those services, the applicable provider may process data under its own privacy terms.
8. Payments
FreedomOS may facilitate business subscription billing and subscriber customer-payment workflows through third-party payment processors. FreedomOS does not intentionally store full payment-card numbers or card security codes in its application database.
9. Data retention
We retain account and business data for as long as needed to provide the service, meet contractual and legal obligations, resolve disputes, prevent fraud, and maintain security. Optional employee location-history retention is configurable by the business subscriber within FreedomOS and is bounded by the product's configured retention controls. Some records may be retained longer when required for security, fraud prevention, accounting, legal compliance, or other legitimate purposes.
10. Account and data deletion
Users may request deletion of their FreedomOS account and associated personal data, subject to legitimate retention requirements. A public deletion-request pathway is available at freedomoscrm.com/account-deletion.
11. Security
FreedomOS uses authentication, organization and role-based access controls, branch scoping, encrypted transport, restricted storage policies, and other technical and organizational safeguards designed to protect information. No system can guarantee absolute security.
12. Children
FreedomOS is a business application and is not directed to children. The service is intended for authorized business users and employees.
13. Changes to this policy
We may update this policy as FreedomOS features, legal requirements, or service providers change. The effective date at the top of this page will be updated when material changes are published.
